Overview
Voicemail to email is a feature that automatically sends new voicemail messages to your email address as audio file attachments. This allows you to listen to voicemails from your inbox, on any device, without needing to dial in to the voicemail system. It is one of the most useful features for staying on top of messages when you are away from your desk.
How to Set It Up
- Log into the portal using your extension and domain as the username.
- Click on your account name or navigate to your user profile settings.
- Find the Voicemail section and locate the Unified Messaging or Email Notification settings.
- Enter your email address in the voicemail recipient field.
- Choose your preferred notification mode:
- Email with audio attachment: A copy of the voicemail audio file is sent to your email each time a new message arrives.
- Email notification only: You receive an email telling you a voicemail arrived, but the audio file is not attached. You must dial in or use the portal to listen.
- Save the changes.
Important Notes
- Voicemails forwarded within the portal will not trigger email notifications to the intended recipient. Email notifications are only generated for voicemails delivered directly to your mailbox by the phone system.
- If you want voicemails to be automatically deleted from the system after they are emailed to you, this behavior can be configured by support upon request.
- Make sure the email address entered is one you check regularly and that emails from the phone system are not being filtered into spam.
Testing the Setup
Once configured, ask a colleague to leave a test voicemail on your extension. Check your email inbox within a minute or two. If the email does not arrive, check your spam folder first, then verify the email address saved in your voicemail settings is correct. Contact support if emails are still not being received after confirming the address is correct.
