Installing the App
Download the UC mobile application from your device’s app store. iOS devices use the Apple App Store and Android devices use the Google Play Store. Search for the app by name, select it, and tap Install.
Signing In
Open the app and sign in using your PBX credentials. Your username is typically in the format extension@domain. This is separate from any admin portal login you may have. When prompted, allow the app to send notifications and access any other required device permissions. Some features may not work correctly if permissions are denied.
User Preferences and Status
Tap your avatar in the top left corner to access preferences and status settings. From here you can update your status with a custom message, toggle Do Not Disturb, manage profile settings, configure calling and network preferences, manage answering rules and time frames, configure blocked numbers, adjust music on hold, manage notification settings, configure voicemail, and report an issue.
Users can also set a preferred callback number in Profile settings. Once set, enabling the callback toggle in the dialer allows calls to be placed through the cellular network rather than over the internet, which can be useful in areas with poor data coverage.
Dialer
The blue dial pad icon at the bottom right of the screen is always accessible regardless of which tab you are on. Tap it to open the dialer and enter a number or search for a contact. If a callback number has been set in your profile, you can enable the callback toggle in the dialer to use that number for outbound calls.
Call History
The Call History tab under Calls shows recent call activity including contact details and status. You can filter the view to show only missed calls or other call types using the Filter option in the top right corner. Call history can be cleared using the Clear History button, and cleared history can be restored from within the same filter menu. Missed calls show color-coded indicators: a regular missed call shows only the timestamp, a call answered elsewhere shows which extension answered, and a call from a queue that was not answered shows the queue name.
Calls can be initiated three ways: the dial pad icon at the bottom right, the plus New button at the top right followed by New Call, or tapping a contact directly in the history list.
Call Parking
The Park tab under Calls shows all currently parked calls. To park a call, tap the Park button during an active call. Once parked, the call appears in this tab where any user with access can tap Pickup to retrieve it. Park orbits are visible based on your site assignment, if applicable.
Meetings
The Meetings tab under Calls lets you create, view, and join video meetings. To create a new meeting, tap the plus New button and select New Meeting, then configure the name, moderators, waiting room preference, and whether the meeting is shared across the organization. To join a meeting, tap it from the list and tap Join Meeting. Before entering, you can toggle your microphone and camera. In-meeting options include car mode, low bandwidth mode, screen share, tile view, breakout rooms, reactions, and participant management. Tap the arrow icon to pop the video into a picture-in-picture view while you navigate elsewhere in the app.
Voicemail
The Voicemail tab shows all received voicemail messages with a red badge for unread items. Tap any voicemail to listen, share the audio file, call back the sender, or delete it. If transcription is enabled on your account, a text version of the message will also appear.
Contacts
The Contacts tab shows all contacts and allows you to add new ones using the plus New button. Contacts can be sorted using the dropdown at the top of the page. Tap a contact to view their details, call them, or add them to your favorites using the star icon. You can also toggle whether your device contacts appear within the app through Preferences, then Contacts.
SMS
The SMS tab under Messages shows all text message conversations. Tap a conversation to view history and reply. To start a new SMS, tap the plus New button. Attachments such as images can be added using the paperclip icon. If you have multiple SMS numbers assigned, use the dropdown in the top left corner to filter conversations by number.
Chat
The Chat tab under Messages lets you create and manage internal message conversations with other users on the system. Tap the plus New button, select New Chat, and choose the contacts to include. Type your message at the bottom and tap Send. Attachments can be added using the paperclip icon.
Fax
The Fax tab under Messages lets you view inbound and outbound faxes and send new ones. Tap the plus New button and select New Fax to open the send fax menu. Fill in the cover page options, file name, attach your document, set the caller ID if applicable, and enter the destination number. Tap Send when ready. If you do not have a fax DID assigned, faxes will send from the default system caller ID. For send-only users, it is recommended to include a cover page so the recipient knows who sent the fax.
