Email to Fax

Overview

Faxing is possible directly from your email client without needing to log into the portal. Before using this feature, your email address must be configured on your PBX user account.

Configuration

Set up your email address on your PBX user account. Make sure the email address is only assigned to users within a single domain. The fax will fail if the system detects the sending address is linked to users across multiple domains, or if it is not assigned to any PBX user at all.

Sending an Outbound Fax by Email

Using any email client, address your message to the destination fax number in the following format: [11-digit number]@instant-fax.com. For example, to fax 12033045246, send to 12033045246@instant-fax.com. Attach your document and send the email as normal.

Fax Caller ID

A Fax Caller ID can be associated with your email address for outbound faxes. Contact support to request this configuration.

Receiving Inbound Fax Notifications by Email

To receive notifications when a fax arrives, go to the Voicemail tab of your user account and select your preferred notification method, the same way voicemail email notifications are set up.

Sending Multiple Attachments

Multiple files can be attached to a single fax email. All files will be combined into one PDF, sorted alphabetically by file name. If you want a cover sheet to appear first, name it something like 1CoverSheet.doc so it sorts before other files.

Accepted file formats: HTML, PDF, DOC, DOCX, ODT.
