Working with Fax

Sending a Fax Through the Portal

  1. Log into the portal using your extension and domain as the username, along with your portal password.
  2. If your extension is an Office Manager extension, click your username in the upper right corner of the screen and select My Account from the dropdown. Fax will not appear as a direct menu option for Office Manager extensions.
  3. Click Fax.
  4. Click Send Fax.
  5. Click Fax Document and select the document you want to send.
  6. Enter the phone number you are faxing to.
  7. Click Send.
  8. Click Inbox, then select Sent from the dropdown and click Refresh until the sent status updates.
  9. Verify that a confirmation email was sent with the fax status.

Faxing is also possible directly from your email client without logging into the portal.

Configuration

Your email address must be set up on your PBX user account before you can use this feature. Make sure the email address is only assigned to PBX users within a single domain. The fax will fail if the system detects the sending email address is assigned to users across multiple domains, or if it is not assigned to any PBX user at all.

Sending an Outbound Fax by Email

Using any email client, address your email to the destination fax number in the following format: [11-digit number]@instant-fax.com. For example, to fax the number 12033045246, send your email to 12033045246@instant-fax.com. Attach the document you want to fax to the email and send it.

Fax Caller ID

A Fax Caller ID can be configured for your email address when sending outbound faxes. Contact support to submit a request for this.

Receiving Inbound Fax Notifications by Email

To receive inbound fax notifications by email, go to the Voicemail tab of your user account in the portal and select the notification method you prefer, similar to how voicemail email notifications are configured.

Multiple Attachments

You can attach multiple files to a single fax email. All files will be combined into one PDF document and sorted alphabetically by file name. If you want a cover sheet to appear first, name it something like 1CoverSheet.doc to ensure it sorts before other attachments.

Accepted file formats: HTML, PDF, DOC, DOCX, ODT.
