How Does a SIP Phone Work?

Walk into almost any modern office and you will find SIP phones on the desks. They look like traditional desk phones, they function like traditional desk phones, and most users never need to think about what is happening underneath. But understanding how a SIP phone actually works helps explain why they are so much more flexible and capable than the analog handsets they replaced.

What Is SIP?

SIP stands for Session Initiation Protocol. It is a signaling protocol that establishes, manages, and terminates communication sessions over an internet connection. SIP is the language that VoIP devices and servers use to talk to each other, handling everything from initiating a call to transferring it, putting it on hold, or ending it. When people talk about SIP phones or SIP trunks, they are referring to devices and services that use this protocol.

SIP was developed in the late 1990s and has become the dominant standard for internet-based voice communication. It is an open standard, which means any SIP phone from any manufacturer can theoretically communicate with any SIP-based phone system. This openness is one of the reasons SIP has become so widely adopted, since businesses are not locked into a single vendor ecosystem the way they were with proprietary analog PBX systems.

The Components of a SIP Phone

A SIP phone is essentially a specialized computer with a keypad, a display, a speaker, and a microphone. Inside, it runs firmware that implements the SIP protocol and handles the audio processing needed to convert your voice into digital data and back again. Most modern SIP phones also include an Ethernet port for connecting to the network, and many include a second Ethernet port so a computer can be connected through the phone rather than needing a separate network connection at the desk.

The phone has a SIP account configured on it, which typically includes a server address, a username, and a password. This account tells the phone where to register and how to authenticate with the phone system. Once registered, the phone is reachable at its extension number and can make and receive calls through the connected system.

What Happens When You Make a Call

When you dial a number on a SIP phone, the phone sends a SIP INVITE message to the server or PBX it is registered with. This message contains information about who is calling, who is being called, and what audio capabilities the calling phone supports. The server processes the INVITE and routes it toward the destination, whether that is another extension on the same system, a phone on a different VoIP system, or a traditional phone number on the public telephone network.

Once the destination accepts the call, a connection is established and audio begins flowing using a separate protocol called RTP, or Real-time Transport Protocol. SIP handles all the signaling and control, while RTP carries the actual voice data. This separation of signaling and media is one of the architectural strengths of SIP, since it allows each component to be optimized independently.

How SIP Phones Register with a Server

Before a SIP phone can make or receive calls, it needs to register with the SIP server or hosted PBX platform it is connected to. Registration is the process by which the phone announces its presence and current network location to the server. The server keeps a record of which phones are registered and where they are, so that when a call arrives for a particular extension, the server knows exactly which device to ring.

Registration is ongoing. SIP phones periodically re-register to keep the server updated on their network location, which is particularly important for devices that move between networks or that are behind NAT. If a phone loses its registration, it stops receiving incoming calls until it re-registers, which is one of the most common causes of phones appearing to ring on the server side but not at the physical phone.

Physical SIP Phones vs Softphones

While physical SIP desk phones are the most common form factor in business environments, the SIP protocol is not limited to hardware. A softphone is a software application that runs on a computer, tablet, or smartphone and implements the same SIP protocol as a physical phone. From the perspective of the phone system, a softphone and a desk phone are identical. They both register, make calls, receive calls, and support the same features.

Physical desk phones have advantages in environments where call quality and ergonomics matter, and where staff spend a large portion of their day on calls. Softphones are better suited to remote workers, mobile staff, or environments where flexibility and portability are the priority. Many businesses deploy both, giving staff the option to use whichever device best fits their current working situation.

They work with virtually any modern hosted VoIP or on-premises PBX platform. They support features like BLF monitoring, call transfer, conferencing, voicemail access, and call recording natively.
